LEGISLATIVE AIDE
Position Description
The Legislative Aide will be responsible for supporting activities in the office of the Representative, including scheduling; conducting policy research; attending legislative committee meetings; briefing and advising the Representative on policy issues; researching and preparing press releases; creating and managing databases; meeting with constituents, school groups, lobbyists and others; developing communication materials and other tasks as necessary.
Position Responsibilities
Administrative Duties:
1. Reviews and responds to all mail and invitations
2. Maintains calendar, including committee meetings, caucus meetings and legislative calendar of important legislation
3. Coordinates calendar with other legislative aides
4. Creates and maintains database of all relevant contacts
5. Coordinates calendar and events with aides and Secretary
6. Manages all visitors to Capitol for Representative
7. Contacts schools to schedule Pages
8. Secures monthly flag and other items available from Secretary of State
9. Tracks all visits and requests
10. Prepare monthly expense report, including stipend forms, receipts and payment request forms
Legislative Policy Duties:
1. Tracks all legislation relevant to Representative (e.g., committee or per request by constituent, lobbyist or House Democratic Caucus)
2. Conducts relevant policy research
3. Prepares synopsis of key legislation, including recommendation as to support or oppose
4. Attends legislative committee meetings
5. Briefs and advises Representative on policy issues, as necessary
6. On-call for Representative during key legislative days (cross-over, sine die)
7. Tracks all Representative votes on final passage – log should be updated weekly
Legislative Support Duties:
1. Attend delegation and caucus meetings on behalf of Representative
2. Ensure timely payment of all dues
3. Assist Representative in Policy Chair duties
Constituent Inquiries
1. Maintains a call log, including end of day call sheet for Representative, including any relevant information to be communicated to caller
2. Replies to all email requests within 48 hours of receipt
3. Replies to all letters within 48 hours of receipt
4. Maintains a log of all incoming and outgoing correspondence, including all contact information and email address
5. Maintains a spreadsheet of all email addresses, sorted by type of contact (citizen, organization, etc)
6. Maintains a log of all constituent requests, including date of contact, recommended response and dates of follow-up
7. Addresses routine requests independently and provides a weekly report to the Representative
8. Creates a system of referrals to relevant state and local offices to address issues, in cooperation with Capitol Office Staff
9. Elevates critical issues to the Representative
Community Participation:
1. Drafts and distributes monthly electronic newsletter
2. Draft and issue press releases as appropriate
3. Maintain updated website on behalf of Representative
4. Sets up and provides support for monthly community meetings (secures space, advertises through website, community groups and local media, coordinates with Constituent Liaison for provision of food, sends thank you letter on following Monday)
5. Coordinates meetings with constituent Groups (i.e., teachers, students, churches, nonprofit groups, NPUs, Neighborhood Associations)
6. Identifies appropriate opportunities for community participation in District
Employment Information:
• Hours: Approximately 20 hours per week (may include weekends)
• Length: January 12 – End of Session
• Location: State Capitol
• Stipend: $2,000 (payable bi-weekly)
